Systems Architecture

for Healing Practitioners & Retreat Leaders

I help retreat facilitators and healing practitioners design operational systems that support trauma-informed and neurodiversity-aware spaces.

Holding transformational space requires deep skill, presence, and emotional capacity. Behind every retreat, workshop, or healing container is a significant amount of operational work that often goes unseen.

Participant communication, retreat planning, screening processes, onboarding, scheduling, logistics, and integration support can quickly become overwhelming when these systems are not clearly structured.

For many practitioners, these responsibilities grow alongside their work until the administrative side of the business begins to compete with the work they actually care about.

My role is to help bring clarity and structure to that side of the business, so you can focus on the work you are good at and care about most.

MY ROLE

I work as an Operations Partner and Systems Architect, supporting healing practitioners and retreat leaders in designing the operational systems that allow their work to run smoothly.

Rather than simply offering advice, I work alongside you to review how your business currently operates and design systems that support both your work and the people you serve.

This allows you to spend less time managing logistics and more time focusing on the transformational work you are here to hold.

WHAT I HELP WITH

Every retreat or healing practice is different, but common areas of support include:

Participant Journey Design

Mapping the full journey from the first inquiry through post-retreat integration.

This may include:

• inquiry and consultation processes

• application or screening systems

• booking and onboarding workflows

• preparation materials and participant communication

Participant Screening and Expectations

Designing screening and onboarding processes that support responsible facilitation.

This may include:

• application forms and screening processes

• trauma-aware retreat structure and group agreements

• participant preparation guidance

Retreat Planning and Logistics

Creating clear planning systems that make retreats easier to organize and manage.

Examples include:

• retreat planning timelines

• logistics checklists

• facilitator and staff coordination

• communication systems before and during the retreat

Integration and Follow-Up

Supporting participants after intense experiences is often one of the most overlooked aspects of transformational work.

I help design systems that support:

• integration calls or sessions

• post-retreat communication

• ongoing community or alumni engagement

Operational Systems and Documentation

Creating clear systems that make the business easier to manage and easier to grow.

This often includes:

• workflow mapping

• standard operating procedures

• internal organization systems

• communication structures

Trauma-Aware Participant Support

Integrating trauma-aware and neurodiversity-aware support for participants (location dependent).

This often includes:

• expectation setting and informed consent

• guidance on nervous system safety and emotional activation

• on-site support for participants needing grounding, regulation, or integration during the retreat

Trauma-Informed and Neurodiversity-Aware Spaces

Many healing spaces are becoming trauma-aware, but fewer are designed with neurodivergent nervous systems in mind.

Without thoughtful structure, retreat environments can unintentionally create overwhelm through unclear expectations, sensory intensity, or lack of integration support.

Part of my work involves helping practitioners design operational systems that better support participants with different nervous systems.

This includes:

• clearer communication before retreats

• participant screening and expectation setting

• thoughtful pacing and structure

• awareness of trauma-responses, power dynamics, and learning/communication styles

• integration support after emotionally intense work

The goal is to create containers that are both transformational and responsible.

HOW WE WORK TOGETHER

My work typically unfolds in three phases
(four, depending on location):

Phase 1

Operational Review

We begin by reviewing how your retreat or practice currently operates.

This allows us to identify where systems are unclear, where processes can be simplified, and where better structure could support both you and your participants.

Phase 2

Systems Architecture

Once we understand your current workflow, I design and implement streamlined operational systems.

These systems may include participant journeys, retreat planning structures, onboarding processes, communication systems, and documentation.

The goal is to create a clear operational framework that allows your work to run smoothly.

Phase 3

Team Support (Optional)

As your work grows, you may benefit from bringing additional support onto your team.

If helpful, I can assist with defining roles, hiring support staff, and training them to operate the systems we have developed.

Phase 4

Trauma-Aware Participant Support
(Optional)

Some retreats benefit from having additional support available for participants who may experience emotional activation, nervous system dysregulation, or sensory overwhelm during the retreat experience (location dependent).

In these cases, I can offer trauma-aware and neurodiversity-aware facilitation to help leaders maintain a safe and well-held container for the group.

This may include being available during the retreat to support individuals who may need grounding, regulation, or integration support.

THE OUTCOME

When operational systems are clear and well designed, healing practitioners and retreat leaders gain the ability to focus more fully on the work they are called to do.

You gain:

• reduced administrative stress

• clearer planning processes

• stronger support for participants

• systems that can grow with your work

• more time and energy for facilitation

Participants benefit from clearer communication, more supportive structures, and better integration support.

WHY WORK WITH ME

My background combines experience in communications, business development, and transformational environments.

Earlier in my career I worked in film, television, and the live music industry, supporting public figures and creative professionals where personal brands, public messaging, and communications were central to the work.

Later, I partnered with an entrepreneur to help build a content marketing agency from the ground up, developing systems for content production, communications, and client operations.

Alongside this work, I have spent years working within retreat and healing environments, supporting both the operational and facilitation side of transformational spaces.

My experience includes:

• working with public figures and personal brands in film, television, and music

• building communications, PR, and marketing systems

• helping to build a content marketing agency from the ground up

• developing and launching online courses and group coaching programs

• organizing operations and programming within retreat environments

• designing participant screening, onboarding, and integration processes

• supporting trauma-informed and neurodiversity-aware spaces

As someone who is AuDHD myself, I also understand firsthand how overwhelming traditional business structures can feel for neurodivergent minds.

This combination allows me to help neurodivergent thought leaders organize their ideas, intellectual property, and operational systems in ways that align with how their mind naturally works.

My role is to help create the structure that allows your insights and creative work to move into the world more sustainably.

INVESTMENT

Most engagements begin with a
Two-Month Systems Architecture Container

During this time we review your existing operations, design streamlined systems, and begin implementing the structures that allow your retreats, programs, or organization to run more smoothly.

This work focuses on building the operational infrastructure behind your work, including participant journeys, retreat planning systems, communication structures, and documentation that allows your business to function without everything living in your head.

Typical investment:

$3,000 – $4,000 per month
Two-month minimum engagement

This type of systems build often costs significantly more when delivered through traditional operations consulting firms. My goal is to make this work accessible to healing practitioners and retreat leaders who are doing meaningful work in the world.

After the initial systems architecture phase, some clients choose to continue working together to support team hiring, operational refinement, or ongoing partnership.

IS THIS A GOOD FIT?

This work tends to be most helpful for practitioners and organizations who:

• are already running retreats, programs, or healing containers

• feel overwhelmed by the operational side of their work

• want clearer systems for communication, logistics, and participant support

• are committed to creating trauma-informed and neurodiversity-aware spaces

• are ready to invest in building sustainable infrastructure for their work

You do not need to have everything figured out before reaching out.

Many clients come to me because their work is growing and they need help organizing the systems that support it.

If that sounds familiar, the next step is simply to start a conversation.

This call is an opportunity for us to connect, learn more about your work, and explore what operational systems might best support your organization.

If it feels like a good fit, we can discuss possible ways to work together.
